i started a word document, with address, board name, and what i traded, sold, what i was gifted or bought..so i can delete them.
one got away from me..and when she was sick, i wanted to send a squishy, and couldn't. so after that i start a document..

As far as PM's go: if it has a name or address I want saved I write it down in my little white notebook for QB buddies only then delete. If I am still 'conversing' with the person over something, I wait until the last PM and then delete. If I am in a swap of any sort, I leave the info up until the swap is over. It is like handling paper that comes into your house. Handle it once and then either trash it, file it, or respond as necessary, then I don't get bogged down.
As far as e-mails: delete as soon as read or if imperative to save, put in appropriate folder. I then go through folder once every few months. If I no longer need it, have not needed it, don't want it, I delete.
